CoachVana is operated by Tampa Bay AI Solutions, LLC, 336 East College Avenue, Suite 301, Tallahassee, FL 32301, United States. There are two ways to remove your data, and you do not need the app installed to use either. You can close your account entirely, or delete part of what you have logged and carry on using it.
Delete your whole account
This removes your profile details and everything you logged, including the check-ins and answers you sent a coach and the files of every photo, and ends your coaching relationships. Any plan you pay for, or that clients pay you for through CoachVana, is canceled straight away with no refund (a plan bought through the App Store is turned off with Apple). It cannot be undone and support cannot restore it.
- Your training
- Every workout, set and personal record, and the programs you made or bought for yourself.
- Check-ins
- Every check-in and every answer you sent your coach, including intake forms.
- Photos
- Progress, check-in and meal photos, and your profile photo. The files are deleted, not hidden.
- Everything you logged
- Weigh-ins, food, water, habits, symptoms, supplements, lab results and watch or ring data.
- Messages and posts
- Their words and files are removed. The other person sees that a message was removed.
Connected services such as Google Calendar, Oura or Manychat are disconnected from CoachVana. To remove CoachVana's access on their side too, and any sessions it added to your calendar, do it in that service's settings.
- Go to coachvana.com/account and sign in. (In the app: Profile → Account.)
- Under Danger zone, choose Delete my account.
- Type DELETE to confirm. Deletion is immediate.
If you can no longer sign in, email support@coachvana.com from the address on the account and we will delete it for you.
Delete part of your data, and keep your account
You can remove any of the following without closing your account. Each is deleted permanently and separately, so you can remove your photos and keep your training log. Permission to show your photos is withdrawn rather than deleted, as it is your coach's record too.
- Go to coachvana.com/account and sign in. (In the app: Profile → Remove some of my data.)
- Under Remove some of your data, check what you want gone.
- Choose Remove selected and confirm.
- Progress photos
- Every progress photo you have taken. Your coach loses the side-by-side comparisons. Photos cannot be recovered once removed.
- Weigh-ins and measurements
- Body weight, body fat and every tape measurement you have recorded. Your weight trend and every measurement chart go back to empty, for you and your coach.
- Food and water logs
- Every meal, food item and glass of water you have logged, how each meal felt, and your food preferences. Your coach can no longer see what you have been eating, and past days show no macros.
- Workout history
- Every session you logged, every set inside it, your form-check clips and the notes on them, your personal records, pain scores and maxes, and your scores on your gym's workouts. Your PRs, streak and training volume all reset. Your coach loses the history they programme your next block from.
- Habit history
- Every habit you have ticked off. Habit streaks and your adherence figure reset to zero.
- Watch and phone health data
- Steps, active calories, distance, sleep, heart rate variability, exercise minutes, the workouts your watch or ring recorded, the readiness, sleep and activity scores from a ring, and the mornings your coach suggested a lighter session from them, with what you chose. Removed from CoachVana only. Apple Health, Health Connect and Oura keep their own copy, and this data comes back on the next sync unless you disconnect first. Your coach stops seeing which lighter sessions you took.
- Symptom and supplement logs
- How you rated your symptoms, and the doses you ticked off on a protocol. Your practitioner loses the adherence figure and the symptom trend a protocol is judged on.
- Your sign-up answers
- What you told us while setting up: your goals, how you train and what you were looking for. Your gym's class list stops putting your interests first. What you already sent your coach stays with them.
- Permission to show your photos
- Every yes you gave a coach to show your before-and-after photos on their public page. Those photos come off your coach's page at once and your coach is told. You can say yes again from the request later.
- Course progress
- Which lessons of a course you marked done and opened, the course actions you completed, your checklist ticks and quiz answers, and your questions and comments on lessons. Every course starts again at no lessons done. You keep the courses themselves, and your coach stops seeing how far you got. A comment others replied to stays as "Comment removed" so their replies still read.
- Assessments
- Every assessment you or your coach recorded: measurements, movement scores and notes. Your coach loses the before and after they compare your progress against, and any assessment waiting for you is removed.
- Goals
- The goals you or your coach set for you, and every number you logged toward them. Your goals and their milestones are gone, for you and your coach. Your workouts and weigh-ins stay.
- Review answers
- What you wrote when asked for a few words about your coaching. Your coach can no longer approve an answer you have not seen go up yet. A public review you posted, and a quote your coach already shows, stay on their page.
What is kept, and for how long
Deleting your account removes everything above. A few things survive it, each kept because it is a record rather than a preference, and none of them carries your name, email or photo afterwards. What is left of your profile reads “Deleted user”.
- Payments and invoices
- Kept for as long as tax and accounting law requires, currently seven years in the United States, with your name and contact details removed so the record is no longer attached to you. Stripe and PayPal hold their own copies under their own policies.
- Messages you sent to other people
- The words and any file you sent are erased. What remains is that a message existed, because a conversation belongs to both people in it and removing it entirely would rewrite the other person’s record of what was said.
- Documents you signed
- Stay in your coach’s records under “Deleted user”, because keeping the record is what a signature is for.
- What your coach wrote
- Your coach’s own notes and the programs they built stay with them, as their work. Your workouts, check-ins, the answers you sent and your photos do not: they are erased with your account.
- Reviews you wrote
- Stay on your coach’s public page as “A former client”, with no name or photo and no link to you, so their rating stays honest.
- Support conversations
- Anything you wrote to us is kept for up to 24 months, as a record of what we told you.
- Backups
- Deleted data can persist in encrypted database backups for up to seven days before those backups are replaced. It is not restored to the live service and is not accessible to anyone in the meantime.
While you keep your account, the following cannot be removed on their own, for the reasons given. Deleting your account removes all of them except where stated above.
- Your consent records
- They are the record of what you agreed to and when. Change any answer in Settings. Deleting your account erases them.
- Messages
- A conversation belongs to both people in it. Erasing your side would rewrite your coach's record of what was said.
- Check-ins and forms
- Your coach programmes from what you told them, including the health history on your intake form. Ask your coach if you need one removed. Deleting your account erases them all.
- Payments and invoices
- A financial record. Neither you nor your coach can delete one.
- Gym passes and fees
- A pass you bought and a fee for a missed class are financial records, kept like a payment.
- Signed documents
- Keeping the record is what a signature is for.
- Before-and-after photos your coach added
- They are your coach's files, and your answer is their record of what they asked. Removing your permission takes them off the public page at once; ask your coach to delete their copy.
- Your coach's notes about you
- Written by your coach, for themselves. They are not in your export either.
- Your training zones and team attendance
- Your zones are the numbers your coach programs against, and a practice roll is your team's record of who came. Both go when you delete your account.
Data from your watch or phone
Steps, sleep, heart rate variability and exercise minutes are copied into CoachVana from Apple Health or Health Connect, or from Oura, Fitbit, WHOOP or Garmin if you connected one. Removing them here removes our copy only. The source keeps its own, and the data will come back on the next sync unless you disconnect the source first, under Profile → Connected apps.
On an iPhone, if you turned on saving to Apple Health, the workouts and nutrition we wrote there belong to Apple Health. Deleting your CoachVana data does not remove them; delete them in the Health app.
