What you are putting up with

  • The gym-floor client and the online client are in different systems

Sessions in a calendar app, programs in a notes app, payments in a third. The client who does both gets two versions of you.

  • Sessions that nobody records

A client who trained with you on Tuesday should see it in their history, not only in your notebook.

  • Chasing payment for packages

Ten-session packs sold by text and tracked in your head, with no page that shows what you offer.

What CoachVana does about it

Coaching your clients

  • Programs with an exercise library

641 exercises, 635 with a demo video, grouped into families so every incline, cable and single-arm variant sits together. Supersets, rest days and 13 program templates to start from.

  • The workout player your clients actually use

Clients log each set against what you prescribed, a personal record is detected as it is logged, and a session left half-done is resumed, not restarted.

  • Scheduled check-ins

Check-ins on your own form, with bodyweight and measurements, reviewed from your dashboard with a reply box.

Running the business

  • A calendar that reaches your phone's calendar

Sessions, weekly repeating sessions, consults and team meetings, with a subscription feed for Apple Calendar, Google Calendar or Outlook. Connect Google Calendar and every video session gets its own Google Meet link automatically; otherwise it carries your own room link. Prospects book a free consult and new clients their onboarding call from the hours you set, and once you turn on client booking, clients book their own paid sessions with a package session or their plan.

  • Packages, subscriptions and one-off plans

Put a 10-session pack or a monthly plan on your public page. A client you accept pays on your own Stripe account, with 0% commission.

  • Lead generation you did not have to build

A public page, free calculators, free-consult booking and lead magnets, each one branded to you.

Questions personal trainers ask

Can I use CoachVana for in-person clients only?
Yes. Schedule sessions, program their week, track their lifts and sell packages. They log in their own CoachVana account; the web dashboard is where you work.
Is there a branded app?
Today, at no cost, people see your logo and banner on your public page, and your banner on your marketplace card; a client's web account shows CoachVana's own look. The Custom branded app ($199 once) adds your app name and startup screen for the CoachVana phone app, which is on Google Play for Android phones so far, and the White-label app ($199 a month plus $499 setup) is your own app under your brand, which our team builds and submits for review.
Does it replace my scheduling app?
For most trainers, yes. You schedule sessions on the CoachVana calendar, one-off or repeating weekly, and each client sees theirs in their account. Prospects book a free consult and new clients their onboarding call from your hours. Turn on client booking and clients book their own paid sessions from those hours, using a session from a package or their plan with you, under a cancellation window you set. A subscription feed puts every session in the calendar app you already use.
What does it cost as I grow?
Fixed levels by active clients: $29 a month for up to 5 clients, $45 for up to 15, $69 for up to 30, $100.99 for up to 50, $149 for up to 150, $164.99 for up to 200, $196.99 for up to 300, $228.99 for up to 400, $260.99 for up to 500 and $292.99 for up to 600. Your first 3 are free. Past 600, contact us. Each coach's book is priced on its own, and only active clients count: a paused, archived or invited client does not. More clients only raise your bill once you confirm the new amount. Every coaching feature is included; the optional extras are Custom branded app, White-label app, Featured coach placement, Featured brand placement and AI action pack.
Can I bring my clients and programs from another app?
Yes. A multi-week program or a meal plan imports from one spreadsheet, PDF, Word document or photo, using AI actions from your monthly allowance, and clients import from a CSV or Excel file with the details it holds. The switching guide and the comparison pages linked below say what Trainerize, TrueCoach and Everfit let you export.
