This covers your subscription to CoachVana. It does not cover money moving between a coach and their clients. That runs on the coach's own Stripe account and is governed by their agreement with the client.
What you're charged, and when
Your first 3 active clients are free forever, not a trial. Past that, the subscription is priced on active clients: Fixed levels by active clients: $29 a month for up to 5 clients, $45 for up to 15, $69 for up to 30, $100.99 for up to 50, $149 for up to 150, $164.99 for up to 200, $196.99 for up to 300, $228.99 for up to 400, $260.99 for up to 500 and $292.99 for up to 600. Your first 3 are free. Past 600, contact us.This is per coach, so an organization with several coaches pays for each coach’s clients separately. A move to a higher level is charged only once you have confirmed the new amount, and then for the rest of the current billing period, prorated; a move to a lower level applies from your next invoice. Gyms and companies also pay an organization fee of $99 a month ($99 a month for each location, for a gym); the location fee follows the number of locations you run, and a discount ends when its term does.
The subscription renews automatically every month until you cancel. Because it follows the level your active client count is in, the amount can change from month to month. An “active client” means a client whose coaching relationship is active; paused, archived and invited clients don't count toward your bill. You can see your current count and what you'll be charged at any time under Billing in the dashboard menu.
Yearly plans. A coach can instead pay for a year up front for the level that holds the clients they have at checkout ($309.99 a year for up to 5 clients, $484.99 a year for up to 15 clients, $739 a year for up to 30 clients, $1,000 a year for up to 50 clients, $1,599.99 a year for up to 150 clients, $1,779.99 a year for up to 200 clients, $2,119.99 a year for up to 300 clients), at least 10% less than twelve monthly invoices. Yearly plans go up to 300 clients; past that, contact us. If you move up a level during the year, the difference is charged for the rest of your year once you confirm the new amount. If you have fewer clients, nothing is refunded and your next renewal is lower. The plan renews each year, billed for the clients you have on the renewal date, and we tell you the amount 30 days before. Yearly plans are paid up front and are not refunded partway through the year. Yearly billing is for a coach's own plan; gym and company plans are billed monthly.
How to cancel
Open Billing in the dashboard menu and choose Manage subscription. It takes the same number of steps to cancel as it did to subscribe, and you never have to email us or call anyone to do it.
Cancellation takes effect at the end of your current billing period, which on a yearly plan is the end of the year you paid for. You keep access to paid features until that date. We don't prorate or refund the unused portion of a period you've already paid for, including the rest of a yearly plan, except where the law requires it or where one of the cases below applies.
Deleting your account is different from canceling: it ends your plan straight away, with no refund for the rest of the period, and also cancels any plan your clients pay you through CoachVana. If you only want to stop paying, cancel instead.
Plans bought through the App Store
If you chose your plan in the CoachVana app on iPhone, Apple bills it to your Apple ID and we cannot cancel or refund it for you. Turn it off in Settings on your iPhone, then your name, then Subscriptions, at least 24 hours before the period ends. It stays active until the end of the period you paid for. For a refund, ask Apple at reportaproblem.apple.com; Apple decides App Store refunds. Deleting your CoachVana account does not cancel an App Store plan.
Moving from free to paid
If your account crosses the free threshold because your active client count went past 3, you'll see the amount before it's billed. You can cancel, or bring your active client count back down, before the billing date to avoid the charge.
At that point you can also start a free 14-day trial, once per organization. No card is on file. Nothing can be charged during the trial, and it will not roll into a paid plan on its own. If it ends with no plan in place, the newest clients past the free 3 are paused, with nothing of theirs lost, until a plan covers them. Ending a trial early gives up the rest of it. Plans are set up on coachvana.com, including for coaches who use the Android app.
Promotions and referral credit
A promotion code gives you free time on your own plan. It has no cash value and is never paid out or refunded. Referral earnings used as credit on your bill can't be turned back into cash. The referral program terms cover how referral commissions are earned and paid.
Billing errors
If you think you were charged in error, email support@coachvana.com within 30 days of the charge. We'll review it, and we refund confirmed billing errors in full. That includes being metered for clients who weren't actually active.
If we change the price
If we change the price of a CoachVana plan or a level, we email you at least 30 days before it applies to you, with the new price, when it starts and how to cancel. A price change never applies retroactively to a period you've already paid for. Your amount moving between levels because your active client count changed is not a price change; it follows the confirmation rules above.
Add-ons and one-time fees
Add-on subscriptions (such as AI packs, featured placement and white-label) follow the same monthly cancellation rule, and are billed monthly, so they can't be added to a yearly plan. One-time setup fees are charged once, on the first invoice that includes them, and are non-refundable once the setup work has been delivered.
What this doesn't cover
Payments between you and your coach, or between you and your clients, are not covered here. Those are handled directly between the two of you, see the Terms of Service. CoachVana takes 0% commission on them and is not the merchant of record.
That includes coaching plans, session packages, booked sessions, self-guided programs, courses, paid communities and gym dues. The coach or gym sets the refund terms and issues any refund, so ask them first. When a coach refunds a self-guided program or a course in full, access to it ends and anything already logged is kept. If you can't resolve it with them, email us and we'll help where we can, but we can't refund money we never received.
