Referral and Affiliate Program Terms

These terms cover the CoachVana referral and affiliate program. They sit alongside the Terms of Service, which still apply. If the two disagree about the program, these terms win.

A referrer is a CoachVana coach whose referral link is turned on, or an affiliate we have approved. A referred coach is someone who creates a CoachVana organization through your link or code.

A coach's link works from the day their account is made. A coach earns only while their own plan is paid: a payment made by a referred coach while the referrer's plan is not paid (including a plan discounted to $0) earns nothing, then or later.

Anyone else may apply to be an affiliate. We approve or decline each application and do not have to give a reason. Approved affiliates earn without paying for a plan. Someone who owns a CoachVana organization cannot also be an affiliate unless we name them a partner, and an affiliate who later opens one earns only while its plan is paid.

You must be 18 or older.

You earn 30% of what CoachVana receives from a referred coach for 12 months from their first payment, then 15% for as long as they keep paying.

What CoachVana receives means their plan, add-ons and, for a gym or company, the organization fee, after refunds, credits, discounts and taxes. For a plan bought through Apple it is what we receive after Apple's commission and taxes. One-time purchases do not count. Payment processing fees are not deducted.

The referred coach gets no extra discount from the program. CoachVana is free for their first 3 clients, with a 14-day free trial when they grow.

The last referral link a person used before creating their organization counts. A link is remembered for 60 days. A code can also be typed in for 30 days after signing up. Once a referral is recorded it does not move to anyone else.

One referral per referred organization and per person. Referring yourself, your own organization or someone paying with your card earns nothing, and a coach on your own team earns you nothing while they are on it.

Every commission is held 45 days before it can be paid.

If a payment you earned on is refunded, credited back or disputed, the commission on it is taken back. If it was already paid, your balance may go below zero, and what you earn next is applied to it first. We do not ask you to repay it except for fraud.

A negative balance with no new earnings for 12 months is written off.

We pay automatically on the 5th of each month (or the next US business day): everything available, when it is at least $25. Below that it carries to the next month. There is no option to request a payout early. We cover Stripe's payout fees.

Payouts go through a Stripe account you set up inside CoachVana, used only to receive them. Stripe verifies your identity and collects your tax details. Cash payouts go to US bank accounts for now; if you are outside the US, your earnings still build up.

Where we offer it, you may apply available earnings as credit on your own CoachVana bill instead.

You are responsible for taxes on what you earn. Credit on your bill counts as earnings. We need your tax details on Stripe before any cash payout, and before crediting more once your payouts and credit for a year reach $1,500. Stripe may send you a 1099-NEC.

You may share your link in your own social posts, in paid social ads that carry the disclosure, in newsletters and podcasts, and at gyms.

You may not bid on CoachVana or any spelling of it in paid search, list your link on coupon or deal sites, pay or reward anyone for signing up, send spam or unsolicited messages, pretend to be CoachVana or speak for us, or make claims about CoachVana that are not true.

Every time you share your link you must say you earn a commission, in the post or message itself, in words like "I earn a commission if you join with my link." This is required by the US Federal Trade Commission.

We may suspend you if we believe you broke these terms or a referral is not genuine. While suspended, new referrals are not recorded and payouts are held while we look into it. If you broke these terms, we may end your participation and your unpaid balance is forfeited.

We may change or end the program with 30 days' notice by email. Commissions already earned stay yours under the terms in effect when they were earned.

If your available and held balance is $25 or more, we pay it once it clears the hold. If you have no payout account, we email you a link to set one up, valid for 90 days; after that the balance is forfeited.

A balance under $25 is forfeited when the account is deleted. A negative balance is written off.
