Programs and meal plans
Upload a spreadsheet, a PDF, a Word document or a photo of a printed sheet, or paste the text. A program's days, exercises, sets, reps, rest and tempo are read out and matched to the exercise library, and nothing is saved until you have reviewed it.

Import a CSV or Excel export, match the columns once, and each client gets an invite with their notes carried over.

What is CoachVana?
CoachVana is fitness coaching software for online coaches, personal trainers, gyms and coaching brands. It combines client management, a workout program builder, native nutrition tracking, check-ins, messaging and payments in one platform: a web dashboard for coaches and a free iOS and Android app for clients.
How much does CoachVana cost?
Fixed levels by active clients: $29 a month for up to 5 clients, $45 for up to 15, $69 for up to 30, $100.99 for up to 50, $149 for up to 150, $164.99 for up to 200, $196.99 for up to 300, $228.99 for up to 400, $260.99 for up to 500 and $292.99 for up to 600. Are there any paid extras?
Only these, each optional: Custom branded app ($199 once), White-label app ($199 a month plus $499 setup), Featured coach placement ($49 a month), Featured brand placement ($199 a month) and AI action pack ($29 a month). The pricing section says what each one adds.
Does CoachVana take a commission on what coaches sell?
No. Clients pay on the coach's own Stripe account and CoachVana takes 0% of every sale, including clients who found the coach through the marketplace. Only Stripe's processing fee applies.
Is nutrition tracking built in, or is it an integration?
Built in. Clients log food in the same place they train, against calorie and macro targets the coach sets in grams, with 404,172 foods, a barcode scanner and AI meal-photo estimates. No third-party tracker is needed.
Does it connect to wearables?
Yes: clients connect an Oura ring, a Fitbit or Apple Health from the app or the web and choose whether you see it. You then see their sleep, HRV, resting heart rate, steps and workouts, plus Oura's readiness score, on their client page. Device data is never sent to AI.
Can I move my existing programs and clients over?
Yes. Programs and meal plans import from spreadsheets, PDFs, Word documents or a photo of a printed sheet, with exercises matched to the library; each file read uses an AI action from the 100 your business has each month. Clients import from a CSV or Excel file, keeping any notes and goals the file holds.
Is there a client app?
Yes, a free iOS and Android app for clients. It carries their program, the workout player, nutrition logging, check-ins, progress photos, messaging and group communities, and it stays in sync with the coach's web dashboard.
Can clients find me on CoachVana?
Every coach can publish a public page at coachvana.com/c/your-name and a listing in the marketplace at coachvana.com/explore, with plans, client reviews, free calculators and an application or waitlist button.
Can I run CoachVana from Claude or ChatGPT?
Yes. Connect CoachVana to Claude or ChatGPT and ask who needs you today, read a client's recent weeks, draft check-in replies or build a program. Anything a client would see is shown to you first and happens only after you approve it. What a client logged reaches the assistant only if that client allows it, and watch, ring, scale and health app data is never sent. The setup steps and the full list of what it can do are at coachvana.com/ai.
Does it work for gyms and coaching companies as well as solo coaches?
Yes. A gym gets memberships, classes, trainers and a front desk; a company gets a roster of coaches, staff and revenue split, with the White-label app as an optional extra. Every coach inside either gets the full coaching platform.
Can I earn by referring other coaches?
Yes. Share your link, and when a coach you refer pays for a plan you earn 30% of what they pay CoachVana for their first 12 months, then 15% for as long as you both stay. Each commission is held 45 days, then paid to your bank through Stripe on the 5th of the month once you have $25 or more. The coach you refer gets the usual offer: CoachVana is free for their first 3 clients, with a 14-day free trial when they grow. They pay the same prices as everyone else.
